How to manage content reviews in the review panel

Reviewers use the content review panel to start, cancel, pass, or fail a review. Each action updates the entry’s review status and may update review dates.

Before you start

You must have permission to review content entries.

When to review content

You may review content when:

  • a review request has been submitted
  • a scheduled review is due
  • content has been updated and needs validation
  • you are responsible for maintaining content accuracy

Start a review

To start a review:

  1. Open the entry in the editor.
  2. Open the Content review panel.
  3. Confirm the review status is Awaiting review (or similar).
  4. Select Start review.

When you start a review:

  • The review status changes to Review in progress.
  • The panel updates to show review actions.
    • Cancel review
    • Fail review
    • Pass review
    The following options become available:

Cancel a review

Cancel a review if changes need to be made to the entry before completing the review.

Publishing updates during a review will count as a passed review, so cancelling allows you to update the content first.

  1. Open the Content review panel while the review is in progress.
  2. Select Cancel review.
  3. Enter a reason in the Please provide a reason for cancelling the review field.
  4. Select Cancel review to confirm.

After cancelling:

  • The review status changes to Review cancelled.
  • The panel shows a Review cancelled summary.
  • The cancellation message is displayed in the panel.

Pass a review

Pass a review when the entry is accurate and up to date.

  1. Open the Content review panel while the review is in progress.
  2. Select Pass review.

When a review is passed:

  • The review status changes to Reviewed.
  • Last reviewed updates to the current date.
  • Next review due is recalculated using the content type’s review schedule.

Fail a review

Fail a review when the entry requires changes before it can be considered accurate.

  1. Open the Content review panel while the review is in progress.
  2. Select Fail review.
  3. Enter a reason in the Why are you marking this review as failed? field.
  4. Select Fail review.

If you try to submit without entering a reason, an error message will appear asking you to provide one.

After failing a review:

  • The review status changes to Needs attention.
  • A failed review summary appears with the reason provided.
  • The last reviewed date updates to the current date.

What happens after a failed review

If an entry has the status Needs attention, it remains in that state until the content is updated and published.

When the entry is published again:

  • The review status changes to Reviewed.
  • The Next review due date is recalculated based on the review schedule.

This ensures that failed reviews continue to signal that changes are required until the content is updated and republished.
