Bulk archive/unarchive entries

Bulk archive allows you to remove multiple entries from active use without deleting them.

Archived entries remain stored in Contensis and can be restored at any time by unarchiving them.

Archiving is useful when content is no longer needed right now but should be kept for reference or future reuse.

Before you start

You must have permission to archive or unarchive entries for the selected content types.

When to use bulk archive

Use bulk archive when you want to:

  • remove content from active listings without deleting it
  • keep older or seasonal content for future reuse
  • tidy up entry listings while retaining content history

Bulk archive entries

To bulk archive entries:

  1. Open the Entries listing or search results.
  2. Select one or more entries using the checkboxes.
  3. Select Archive from the bulk actions toolbar.
  4. Review the confirmation message.
  5. Select Archive to confirm.

What happens after archiving

  • Entries are removed from active entry listings.
  • Any existing Site View node relationships are removed.
  • A progress message appears while archiving completes.
  • A success message confirms how many entries were archived.
  • Archived entries remain stored in Contensis.

Bulk unarchive entries

To bulk unarchive entries:

  1. Open the Archived entries view.
  2. Select one or more archived entries.
  3. Select Unarchive from the bulk actions toolbar.
  4. Confirm the action.

What happens after unarchiving

  • Entries return to the active entry listing.
  • Previous Site View locations are not restored.
  • If needed, entries must be manually added back to Site View nodes.
  • A success message confirms how many entries were unarchived.

Permissions and behaviour

Archiving and unarchiving apply to the entire entry, including all language variations.

Archived entries:

  • are removed from active entry listings
  • are not surfaced in linked entries

You must have permission to archive or unarchive all selected entries.

If some entries cannot be archived or unarchived, the confirmation window explains which entries will and will not be affected before the action runs.
