Upload assets to Contensis

You can upload one file or many at once from the Assets screen. Uploading happens in two stages: you choose where the files should live, then you set the metadata for each file before saving.
Before you start
You need permission to create assets of the relevant asset type. If you don't, the file will still upload but will be flagged with "You do not have permission to create this asset" and cannot be saved.
Upload assets
- Select Assets from the project sidebar.
- Select Upload. The Bulk upload assets window opens.
- In the Choose upload location panel, select the folder your files should be uploaded to. Folders are shown as a tree, starting at Home. You must choose a folder before you can add files. Until you do, the window shows Select a folder to begin.
- Add your files, either by selecting Browse files and choosing them, or by dragging them onto the panel. You can upload multiple files at once.
- Your files begin uploading immediately, and the window switches to the properties view.
- Set the metadata for each file. The fields shown are the fields defined on that asset type in your project, so they will differ between images, documents, and video.
- If you uploaded more than one file, move between them using the Previous and Next buttons, or the left arrow and right arrow keys. A counter shows Asset 1 of 6 so you can keep track. In the file list, you can also select any file to jump straight to it.
- When you have finished, select Insert 6 assets to save. The button shows the number of files that are ready to save.
Your assets are added to the library and a confirmation message tells you how many were created.
Creating a folder during upload
If you need a new folder, hover over the folder it should sit inside and select Create new folder. Enter a Folder name and select Create.
Folder names are converted to a URL-safe form: spaces become hyphens, and characters other than letters, numbers, and hyphens are removed.
How filenames are handled
Contensis derives the asset's title and filename from the file you upload:
- The filename without its extension becomes the asset title.
- The stored filename is a URL-safe version of that title, keeping the original extension.
- Leading numbers are removed from the URL-safe version.
For example, 2024 Report (final).PDF is given the title 2024 Report (final) and stored as report-final.PDF.
Files that can't be uploaded
Files that fail validation are marked with a red icon in the list, and are grouped under a Warnings tab alongside All assets. You can still save the valid files. The save button counts only those.
| Message | What it means |
|---|---|
| Unknown file type | The file extension isn't recognised by Contensis. |
| Invalid file type | The extension is recognised, but no matching asset type is available in this project. |
| Zero bytes | The file is empty. |
| You do not have permission to create this asset | You can't create assets of this type. |
To remove a file from the batch, select Remove on its row. You can't remove the last remaining file. Cancel the upload instead.
