The asset editor is where you change an asset's metadata and, if you need to, swap the underlying file for a new one.

Open an asset

  1. Select Assets from the project sidebar.
  2. Select the asset you want to edit, or choose Open from the actions menu on the asset card.

The asset opens with a preview on the left and the Asset metadata panel on the right.

Edit asset metadata

  1. Select Edit metadata in the panel toolbar if the metadata panel isn't already open.
  2. Change the fields you need to. The fields available depend on how the asset type is set up in your project. For images this usually includes Alt text, Description (caption) and most asset types include tags.
  3. Move focus away from the field by selecting elsewhere or pressing Tab.

If you don't have permission to update this asset, the fields are shown as read-only.

Replace the file

Replacing a file keeps the asset's ID, metadata, and all existing links to it, and swaps only the file itself. Every entry using the asset picks up the new file.

  1. Open the asset and scroll to Asset file (replace) at the bottom of the metadata panel.
  2. Select the Upload icon and choose your replacement file.

The file picker is limited to the extensions valid for this asset's type. You can't replace a PDF with a JPEG, for example. If you need a different file type, upload a new asset instead.

Replacing is only available if you have permission to update the asset, and if the metadata currently in the panel is valid.

Move between assets

If you opened the asset from a search or filtered listing, Previous asset and Next asset let you work through the results in order, with a counter showing Asset 3 of 24.

See asset information

Select Information in the panel toolbar to see details that aren't editable:

  • Location, Filename, File size, and File extension
  • Dimensions and Print size (300 dpi), for images
  • Usage: how many entries link to this asset
  • Created, Created by, Updated, Updated by, Published, Published by, and the equivalents for archiving
  • Activity: the full version history, showing who did what and when, and any messages left on workflow actions
