Collaboration view prevents editors from accidentally overwriting or losing content when multiple people work on the same entry.

If no one is ‘present,’ you can proceed confidently, knowing your edits are safe. This ensures your work is preserved, reducing the need to redo edits or duplicate efforts. Collaboration view makes teamwork smoother and more efficient.

How it works

When you open an entry for editing, you'll either be in editing mode or viewing mode.

Editing

The first person to open an entry for editing becomes the designated editor. You'll remain the editor until you close the browser tab or navigate away from the entry.

If someone else opens the same entry, you will see their avatar in the top toolbar. If more than three users are looking at the content entry, three avatars will be displayed in the toolbar, along with a counter that shows how many more are viewing it. You can hover over an avatar to see the name of the user. Other users can view and comment on the entry, but cannot make edits.

Any changes you make and save will be visible to all viewers in real time.

Viewing

Anyone who opens an entry after the editor is considered a viewer. An orange notice at the top of the screen highlights the current editor. You won’t be able to edit the entry until the current editor closes it or becomes inactive. However, you can still comment to provide feedback and collaborate.

Inactive

If you leave the entry open but inactive for more than 10 minutes, you will be marked as inactive. If you were the editor, the entry unlocks, allowing the next viewer to take over. Any unsaved changes you have made will be lost.
